Below is an outline of a structured 3-stage onboarding process.

Each stage is designed to progressively set up, train, and fully utilize the Jombone platform across recruiting and staffing workflows — from front-office to back-office.

Stage 1: Platform Setup & Data Migration

Stage 2: Training, Workflow Setup - Recruitment, Job Order Fulfilment, Timesheet, Invoicing, Payroll and Compliance.

Stage 3: Credentialing, Onboarding & Reporting, Optimize


🔹 Stage 1: Platform Setup & Data Migration

Objective: Complete Setup, Migrate Data & Documents

In this initial stage, our goal is to establish the foundation of your Jombone workspace by migrating all key data and documents.

Steps to Complete:

  1. Clients Data: Import and configure client profiles.

  2. Job Orders Data: Upload historical and active job orders linked to each client.

  3. Candidate Data: Bulk import candidate profiles, ensuring each includes:

    • Personal Data

    • Resumes

    • Credentials and Certifications

  4. Employments: Map candidates to past and current employment records.

This ensures all your data is available and structured correctly within the Jombone platform. This facilitates seamless user and admin training.


🔹 Stage 2: Training, Recruitment & Workflow Setup

Objective: Initial Training (Admin & User), Recruitment Setup, Workflow Configuration (All Front-office, Mid-Office and Back-office)

Once the data foundation is in place, we move to activating your workflows and training users.

Steps to Complete:

  1. Setup Workspace Brand: Configure your organization’s branding.

  2. Setup Careers Website: Launch your public-facing career page.

  3. Integrate Indeed: Connect to Indeed to start sourcing applicants.

  4. Setup Omni-channel Talent Pipeline and Job Order Fulfilment: Establish your sourcing and screening pipeline.

  5. Time Clocks and Timesheets: Configure digital time capture and tracking tools.

  6. Invoicing: Enable automated invoicing workflows.

  7. Integrate with Gusto & QuickBooks: Connect your payroll and accounting systems for seamless operations.

Training for admins and end-users will be provided during this stage to ensure comfort with all system functions.


🔹 Stage 3: Credentialing, Onboarding & Reporting, Optimize

Object: Setup Credentialing, Float Pools, Analytics, and Talent Operations

This final stage prepares your business for advanced use cases and data-driven operations.

Steps to Complete:

  1. Organize Talent Pool: Segment candidates into logical groups or pools.

  2. Float Pools: Setup float pool processes to manage high-volume or flexible placements.

  3. Setup Email and Text Channels: Enable communication workflows to reach candidates directly.

  4. Identify Analytics & Reporting Needs: Review KPIs and reporting expectations.

  5. Configure Reports: Build and automate dashboards tailored to your business goals.
