Custom Invoice

Custom invoices offer full flexibility—allowing to bill a client based on unique scenarios outside the standard By Location/Company options

🧐 Why this matters

The Custom Invoice option is perfect when you want to:

  • Bill a client using a custom billing location

  • Generate an invoice with user-defined line items

  • Handle unique non-standard invoicing requirements

This flexibility helps ensure that all work is accounted for and billed correctly, regardless of how shifts or jobs are structured in the system.


🧭 How to Create a Custom Invoice

  1. Go to Staffing Workspace

  2. Navigate to the Invoicing tab

  3. Click on the Create Invoice button (top-right corner)

  4. In the modal, select the Custom Invoice tab

  5. Choose the frequency (Weekly, Semi-monthly, Monthly)

  6. Under Bill To, select a location:

    • First option = Company location

    • Remaining options = Company’s billing locations

⚠️ Note: Only one location can be selected under Custom Invoice.

  1. Click Create


➕ Adding Line Items

After clicking Create, you'll be directed to a blank invoice screen.

  • Click on Add Additional Line Item

  • Enter all required information:

    • Description

    • Job Location

    • Quantity

    • Rate

  • Click Save once complete

Once saved, the invoice will be available under the Staffing Invoices section and a notification email will be sent.


🧠 Key Features

  • Customise invoices independently of standard job data

  • Choose any billing location from your company structure

  • All validation rules remain the same as "By Location" and "By Company"

  • Add as many line items as needed before saving

  • Invoice displays company and billing location details

  • Currency is pre-determined based on billing location (e.g. CAD or USD)


📌 Points to Remember

  • Only one location can be selected under “Bill To”

  • Billing dropdown displays Company location first, then other billing locations

  • You must add at least one line item before saving

  • Invoice preview will reflect your entries in real-time

  • Once saved, invoice will show up in the Staffing Invoices tab with a Draft status
