Integrating Gmail with your Staffing Workspace

The Integration tab is where everything starts coming together. This is where you connect third-party apps like Google. These integrations power features like in-app emailing and real-time syncing—cutting down time wasted toggling between tools.

🔗 Adding an App

Go to Settings → Workspace Settings → Integration.

  1. Click Add App (top right).

  2. From the dropdown, select your application (Google, Microsoft, Twilio, RingCentral).

    • 📌 QuickBooks is visible only to Workspace Admins.

  3. Click Save – the app appears in the list with status Not Connected.


🔐 Connecting Your Account

  1. Click the 3-dot menu next to your added app.

  2. Select Connect.

  3. You’ll be redirected to an OAuth login page (Google).

  4. Sign in and grant access.

  5. If successful, status updates to 🟢 Connected.

  6. A success message will display: “Email account connected successfully.”

If the same app is already added, a message appears:
“Your Google account is already added and is <Connected/Disconnected>.”

📩 Sending/Accessing Emails via Nylas

Once your Google or Microsoft account is connected, you can send emails straight from the platform using the Nylas API. Emails include To, Subject, Body (HTML or Text). You’ll find this inside candidate teasers:


🧭 ATS/Candidate Search → 3-dot menu → Emails

In the email view, you’ll see:

  • Subject, From, To, Date/Time

  • 📎 Attachment count with file size and download option

  • 🔄 Pagination (20 per page) + Load More

  • 🆕 New emails are flagged automatically

  • Collapsible email threads with 3-dot ellipsis


↩️ Reply, Reply All, Forward—Made Simple

Open any email and respond using:

  • Reply → prefilled with sender only

  • Reply All → includes all except your own email

  • Forward → opens clean draft with quoted thread below

All responses include the original message under a divider, and attachments carry over unless removed.


🖊️ Add Your Email Signature

Go to:
⚙️ Profile Settings → My Profile → Email Signature

Craft your custom signature using the rich-text editor. Once saved, it can auto-append to new emails and replies. If you want more control, toggle the "Insert Signature" switch while composing.


🗑️ Deleting Emails

Click the trash icon inside any email thread:

  • The message is moved to your email account’s Trash folder (via Nylas)

  • It's not permanently deleted and can be recovered if needed


🔁 Disconnecting & Removing Apps

Need to disconnect your account? From the Integration page - 3-dot menu:

  • Click Disconnect – this revokes the grant from Nylas and clears the integration from our database.

  • Status updates to 🔴 Disconnected

  • You can then click Remove to completely delete the integration from your list.


🧠 Why This Matters

Integrating email into Jombone reduces app switching, boosts productivity, and gives recruiters full visibility into communications—all within the same interface. With support for real-time syncing, signature management, and message threading, it brings clarity to candidate interactions.


📌 Points to Remember

  • 🟣 Google integration is available to all Staffing Company Users, including WAs, BOs, Ops Admins, AMs, CRs, and Externals.

  • 🔄 Each integration can only be added once. Trying to add a duplicate (e.g., Google) will show a message based on its current connection status.

  • 🔐 OAuth login is required to connect apps. Credentials must be valid to complete integration.

  • 📬 Once connected, emails sent through the platform use your own authenticated account via the Nylas API.

  • 📁 Attachments are supported and can be downloaded, forwarded, or removed in email threads.

  • 🧾 All email threads are paginated by default (20 per page), and sorted by newest first. Use Load More to fetch older messages.

  • ✏️ Email signatures are optional but customisable and can be edited or toggled on/off per email.

  • 🗑️ Deleted emails go to trash—they are not permanently deleted, and you can move them back if needed.

  • 📎 You can reply, reply all, or forward with just a click—all actions open the same rich “Create Email” modal, keeping the UI consistent.
