Create and Use Rejection Email Templates

You can now create and manage rejection email templates in Workspace Settings to streamline communication with candidates not selected for a job. This feature ensures consistent, professional messaging and saves time when rejecting multiple candidates.

✨ Where to find it

  1. Go to Staffing Workspace.

  2. Click on the Settings (⚙️) icon from the left-hand menu.

  3. Under Workspace Settings > General Settings, select Email Templates.

Here, you will see a list of existing email templates, and you can create new ones or edit existing ones.


➕ Create a Rejection Email Template

  1. Click the Create Template button.

  2. Fill in the following fields:

    • Template Name – Internal reference name for the template.

    • Subject – Email subject line shown to the candidate.

    • Body – Use the editor to compose your message.

      • Use the Auto Populate dropdown to insert smart fields such as:

        • {candidate first name}

        • {job order title}

        • {staffing company name}

        • {full name-logged-in user}

        • {LinkedIn-staffing company}

💡 The preview panel on the right side shows how the email will appear to the candidate with sample data.

  1. Click Save.


📝 Edit an Existing Template

  1. Hover over the template row and click the edit icon (✏️).

  2. Make your changes and click Save.


📤 Using the Template to Reject a Candidate

  1. Go to the Applications Received tab in a Job Order.

  2. Click the Actions dropdown for the candidate you want to reject.

  3. Select Reject.

  4. In the Reject Application pop-up:

    • Ensure Send Rejection Notification is checked.

    • Choose your saved Rejection Template from the dropdown.

    • The subject and body will auto-populate based on your template.

  5. Click Yes to confirm and send the rejection email.

🔁 Need to update your messaging?

You can edit templates anytime from the Email Templates section in Workspace Settings. All future emails using the updated template will reflect your changes.
