How to Start Candidate Onboarding

Staffing companies can onboard new candidates from the Staffing Workspace by requesting documents to ensure compliance before work begins.

✅ Step-by-Step: Onboarding a Candidate

You can onboard a candidate from three key modules within your Staffing Workspace:

📍 From Candidate Search

  1. Go to the Candidate Search section.

  2. Click on the three-dot menu (︙) next to the candidate’s name.

  3. Select Onboard Candidate from the dropdown menu.



📍 From Applicant Tracking System (ATS)

  1. Navigate to the Applicant Tracking System tab.

  2. Click on the three-dot menu (︙) next to the desired applicant.

  3. Choose Onboard Candidate from the options.



📍 From the Jobs Orders View

  1. From ​Left Menu > Companies > View All Companies > Select a Company > Job Orders

  2. Click on any of tabs inside this job order (for example: Applications Received).

  3. Locate the candidate and click the Workflows dropdown.

  4. Choose Onboard Candidate.


📂 Requesting Onboarding & Credentialing Documents

After clicking Onboard Candidate, a document request panel will appear. You can request documents across various categories:

  • 1. Personal Details

    • Address

    • Email

    • Full Name

    • Phone Number

    2. Payroll

    • Federal Withholding

    • Social Security Number

    • State Withholding

    • Work Authorization

    3. General

    • Address

    • Date of Birth

    • Emergency Contact Details

    • Equal Opportunity Employment

    • Govt Issued ID

    • Govt Issued Photo ID

    • I-9 Work Eligibility

    • Picture

    • Recent Resume

    • SIN

    • Social Security Card

    • Work Eligibility

    4. Independent Contractors

    • Insurance

    • Proof of Business Ownership

    • Proof of Workers Compensation Coverage

    5. Direct Deposit

    • Direct Deposit - Canada

    • Direct Deposit - United States

    6. Background Check

    • Background Check

    • Criminal Check

    • Drug Screen

    • Level 1 Finger Print Card

    • NBI Clearance

    • Vulnerable Sector Check

    7. Training & Education

    • Degree/Diploma 1

    • Degree/Diploma 2

    • Health & Safety Training

    • WHMIS Training Certificate

    8. Licenses & Certificates

    Includes, but not limited to:

    • ACLS, AGNP, APRN, BLS, CNA, CRNA, DEA

    • Forklift License, RN, MD/DO, RT, TNCC, etc.

    9. References

    • Reference 1

    • Reference 2

    • Reference 3

    • Reference 4

    • Reference 5

    10. Health Care

    • Immunization Records

    • CPR/BCLS/NRP/PALS

    • COVID-19 & Flu Vaccination

    • TB Test or Chest X-Ray

    • Declination Forms

    • Clinical Interview

    (Includes a full range of vaccine and healthcare-related documents)

    11. E-Signed Documents

    • Documents requiring e-signature

Steps:

  1. Navigate through each document category from the left panel.

  2. Select all applicable documents.

  3. Click Send to initiate the document collection from the candidate.

💡 Pro Tips

  • Use “Select All” in each category for faster selection.

  • Only request documents that are relevant to your job or client compliance requirements.

  • You can resend document requests at any time by revisiting the onboarding panel.
