Automate Onboarding Requests When Creating a Job Order

Jombone makes it easy to automate onboarding requests for candidates directly within the Job Order flow. Set triggers based on stage, onboarding status, and required documents to streamline hiring and ensure nothing is missed.

βœ… How It Works

While creating a Job Order, in Step 8: Onboarding Requirements, you can:

  1. Enable Automation Trigger

  2. Set the Trigger Stage

  3. Select Candidate Onboarding Status

  4. Choose Required Onboarding Documents

Once configured, candidates who meet the defined conditions will automatically receive an onboarding request email with a link to upload their documents.


πŸ” Step-by-Step: Automating Onboarding Requests

1. Enable the Automation Trigger

Start by checking the Automation Trigger box at the top of the Onboarding Requirements step.


2. Select a Stage (Trigger Event)

Choose at what point the onboarding request should be triggered. Available options include:

  • Application Received

  • Offer Made

  • Offer Accepted

  • Assignments Confirmed (Most commonly used)

  • Current Employments

  • Rejected or withdrawn

This determines when the onboarding request will be sent.


3. Choose Candidate Onboarding Status

Filter candidates by their current onboarding status. This ensures onboarding requests are only sent when necessary.

Available statuses include:

  • Approved

  • Rejected (If their previous onboarding documents were rejected)

  • Pending

  • Expired

  • Expiring Soon

  • Compliance Exempted

  • Not Exist (For brand new candidates)

This avoids sending duplicate onboarding requests to candidates already fully onboarded.


4. Select Required Documents

Choose the onboarding and credentialing documents required for this specific job. Categories include:

  • Personal Details

  • Payroll (e.g., Federal Withholding, SIN/SSN)

  • General

  • Independent Contractors

  • Direct Deposit

  • Background Check

  • Training & Education

  • Licenses & Certifications

  • References

  • Healthcare

  • eSign documents

You can check multiple documents based on what is required for compliance or internal policy.

Once the automation is triggered, the selected candidate(s) will receive an email with a secure link.

  • Clicking the link will open a branded onboarding form.

  • Candidates can upload or complete the required documents directly in the portal.

  • You will be notified once documents are submitted or completed.
