The Shift Roster is where users can:

  • View scheduled shifts in a calendar format (Day or Week view).

  • See candidate assignments and availability.

  • Manage shift actions like assigning, changing, cancelling, and confirming shifts.

  • Filter and locate specific jobs, recruiters, supervisors, and confirmation statuses.

Toggle between:

  • Week View – See the full week’s shift schedule.

  • Day View – Focus on a single day.

  • The date selector updates dynamically based on selected view.


πŸ‘₯ Viewing Shifts & Candidates

After applying filters:

  • All shifts associated with selected jobs will appear.

  • Select a shift to view available candidates.

  • Assign, cancel, or update shifts from the candidate view modal.


πŸ”§ Manage Shift Popup/Shift Actions

  • Change Shift β†’ Choose alternate timing for one or multiple days (Once / Daily).

  • Cancel Shift β†’ Remove the shift from roster.

  • Send Confirmation β†’ Notify the candidate to confirm assigned shift.

  • Once confirmed/updated, the candidate automatically moves to the selected shift slot.


Using β€œDispatch Ready” to Backfill Shifts

The Dispatch Ready feature allows you to quickly backfill shifts in the event of no-shows or last-minute cancellations. It displays a list of vetted, screened candidates whose assignments have already been confirmed and are ready to be dispatchedβ€”saving you valuable time during urgent situations.

How to Use It:

  1. Go to the Shift Roster tab in the Staffing Workspace.

  2. Click the Dispatch Ready button located above the calendar.

  3. A popup will appear showing a list of candidates associated with the selected job order. These are candidates whose shifts have already been confirmed.

    The popup includes the following filters and tools:

    • Start Date Calendar to select the shift date.

    • Search bar to filter by name, ID, email, or phone.

    • Select all checkbox to quickly choose all available candidates.

    • Multi-select checkboxes for selecting more than one candidate.

    • Shift selector next to each name, allowing you to modify the shift timing if needed.

    • Three-dot menu beside each candidate for additional actions such as confirming shifts.

  4. After selecting the desired candidates, click Confirm Shift to dispatch them instantly.

This feature ensures a fast, efficient way to manage last-minute coverage with pre-approved talent.

Confirming Dispatch & Employment Notification

Once you have selected the candidates from the Dispatch Ready list and confirmed their shift assignments:

  1. Click the Confirm Shift button.

  2. A confirmation banner will appear at the top of the popup, indicating that dispatch confirmations have been sent and employment has been successfully started.

  3. Candidates will receive an automated email notification confirming their assignment details. This includes:

    • Job title

    • Work location

    • Shift date and time

    • Pay rate

    • A link to log in to their account

This ensures candidates are immediately informed of their confirmed assignment, eliminating any delay in shift communication and supporting a seamless deployment process.

  • Use multi-select filters (Company Location, Recruiters, Supervisors) to refine your view.

  • Switch between Day or Week view depending on the level of detail needed.

  • No shift is selected by default β€” click on a shift block to see available candidates.

  • Only one shift time can be active per job per day.

  • After shift assignment or change, confirmation status icons are displayed:

    • 🟠 Orange – Pending Shift Confirmation

    • 🟒 Green – Shift Accepted

    • βšͺ Grey– Shift Canceled

    • πŸ”΄ Red- Shift Declined

  • Icons appear only after an action is taken (no icons by default).
