Managing Job Orders

This article covers everything you can do on the Job Orders page for a company—searching, sorting, filtering, viewing shift details, and managing job order actions like Add Applicant, Freeze Hiring, Fulfill, Delete, notifications, and assignments.

Access Job Orders

From Companies → View All Companies, click anywhere on the company row (not the company name) to expand the row actions, then select Job Orders.


Job Orders page overview

On this page, you can track each job order’s progress using the key columns, including:

  • Applications Received

  • Offers Made

  • Offers Accepted

  • Assignments Confirmed

  • Current Employments

  • Past Employments

  • Rejected or Withdrawn

You can also click Shifts on a job order row to view shift timing and compensation details.


Search Job Orders

Use the search bar to find job orders by:

  • Job order title

  • Job order ID


Filter Job Orders

Click All Filters to open advanced filters (for example, by Company Location, Recruiters, and Supervisors).

  • Click Apply to use selected filters

  • Click Clear All to reset filters


Sort Job Orders

Use the Sort by dropdown to organize job orders by:

  • Posted Date (Recent First / Recent Last)

  • Job Order Start Date (Recent First / Recent Last)


Switch between Active, Fulfilled, Frozen, and Deleted job orders

Use the Job Orders dropdown (near the top navigation) to switch views:

  • Active Job Orders

  • Fulfilled Job Orders

  • Frozen Job Orders

  • Deleted Job Orders


Manage a Job Order

To manage a specific job order, click the three-dot menu (⋮) on that job order row.


Add Applicant

Use this option to manually add a candidate to a specific job order.

  1. Click the three-dot menu (⋮) on the job order row

  2. Select Add Applicant

This opens the Add Candidate Lead form (right-hand panel).

Note: The related article mentions a different entry point (“Applicant Tracker”). When adding from this page, the correct entry is the job order row menu (⋮).


Freeze Hiring

Freezing pauses hiring for a job order without deleting it.

  1. Click the three-dot menu (⋮)

  2. Select Freeze Hiring

  3. Click Yes to confirm

The job order moves from Active Job Orders to Frozen Job Orders.


Promote a Job

You can promote a job order to external job boards directly from the Job Order Board.

  1. Click the three-dot menu (⋮) next to the job

  2. Select Promote

  3. Choose job websites in the Marketplace

  4. Add them to the cart and complete checkout

You can promote to both paid job boards and free (Organic) sites. After checkout, you can review your order, download invoices, and track performance in Reports.

To stop promoting a job, click the three-dot menu (⋮) and select Unpromote.

Fulfill Job Order

Fulfilling marks the job order as completed.

  1. Click the three-dot menu (⋮)

  2. Select Fulfill Job Order

  3. Click Yes to confirm

The job order moves to Fulfilled Job Orders.


Delete Job Order

Deleting permanently removes the job order from active use.

  1. Click the three-dot menu (⋮)

  2. Select Delete Job Order

  3. Confirm the deletion

⚠️ Important: Deleted job orders cannot be restored. Any open applications or offers tied to the job order will be rejected or withdrawn.

The job order will appear under Deleted Job Orders.


Sign-In / Sign-Out Notifications

These settings control email alerts when employees miss signing in or signing out of their shifts.

How to enable/disable

  1. Click the three-dot menu (⋮) on the job order row

  2. Select Sign In Notifications and/or Sign Out Notifications

How to confirm they’re enabled

  • A notification icon appears next to the job order title on the list when notifications are enabled.

  • In the menu, a checkmark appears beside Sign In Notifications / Sign Out Notifications when turned on.

Who receives missed sign-in/out emails

When enabled, notifications are sent as follows:

Missed Sign-In

  • Candidate email reminders (sent after 5, 10, 15, and 30 minutes past shift start)

    • CC: Assigned Account Manager, Recruiter, Ops Admin, Back-Office

  • Client Shift Supervisor alert (sent after 10 minutes past shift start)

    • CC: Account Manager

    • BCC: Ops Admin

Missed Sign-Out

  • Candidate email reminders (sent after 15 and 30 minutes past shift end)

    • CC: Assigned Account Manager, Recruiter, Ops Admin, Back-Office


Assign Users & Teams

Use this option to assign recruiters, account managers, or teams to the job order for ownership and visibility.

  1. Click the three-dot menu (⋮)

  2. Select Assign Users & Teams

  3. Choose users/teams and save

Notes, Tasks & Reminders

Add Notes

  1. Open a job order

  2. Click Add Note

  3. Enter your note

  4. Save

All notes related to the job order will be stored in one place for visibility.


Add Tasks & Reminders

  1. Open the job order

  2. Click the Tasks tab

  3. Click Add Task

  4. Enter task details and assign if required

Tasks and reminders help recruiters:

  • Track follow-ups

  • Set deadlines

  • Assign responsibilities

  • Improve internal coordination
