πŸ“Œ Why This Matters

Before running payroll for a given week, you need a clean export of all approved timesheet hours across your workforce. Jombone generates a pre-formatted Payroll Timesheet file directly from the Timesheets moduleβ€”structured and ready to upload for payroll processing without any manual reformatting.

This ensures:

  • βœ… Approved hours are captured accurately for the correct payroll week

  • πŸ“‹ Timesheet data is export-ready in the exact format required for payroll upload

  • ⚑ Payroll runs stay accurate and efficient with no manual data entry

⚠️ Important: This step must be completed after you have already downloaded and uploaded the Employee Data (New Starts) file for the same week. Do not download payroll timesheets before new starts (for the week) have been registered in the system.

🧭 How to Download the Payroll Timesheet Template

Follow these steps each week as part of your payroll workflow:

  1. Log into your Jombone Staffing Workspace.

  2. From the left-hand navigation menu, go to Mid Office.

  3. Select Timesheets from the Mid Office menu.

  4. On the Timesheets page β€” do not select a specific client from the top filter. Leave it at the default (all clients).

  5. Make sure you are viewing the correct week using the week selector at the top of the page.

  6. Click the three-dot menu (β‹―) located on the far right of the page.

  7. From the dropdown, select Download.

  8. Then select Download Payroll Timesheets.

πŸ“₯ An Excel file (.xlsx) will download automatically. This file contains timesheet hours for all workers in the selected week and is pre-formatted for payroll upload via the Jombone platform.

🧠 Key Points to Remember

  • πŸ”’ New starts must come first β€” always download and upload the Employee Data (New Starts) file before downloading this Payroll Timesheet file. Payroll cannot process hours for workers who haven't been registered as new starts yet.

  • πŸ—“οΈ Week selection is critical β€” confirm you are on the correct week-ending date before downloading. Downloading from the wrong week will pull incorrect timesheet data.

  • 🚫 Do not filter by client β€” leave the client selector blank so the download captures timesheet hours across all clients for that week.

  • πŸ“‚ File format β€” the downloaded Excel file is pre-structured for the Jombone payroll upload. Do not reformat or reorder columns before uploading.

  • βœ… Approved timesheets only β€” only hours from approved timesheets are included in this file. Ensure all timesheets for the week have been reviewed and approved before downloading.

πŸ’‘ Tips

  • πŸ” Follow this two-step sequence every payroll week without exception:

    • Step 1 β€” Download & upload Employee Data (New Starts)

    • Step 2 β€” Download & upload Payroll Timesheets

  • πŸ” Before downloading, do a quick check that all timesheet approvals for the week are complete β€” any unapproved timesheets will not be included in the export.

  • πŸ“€ Once downloaded, go to Back Office in the left-hand navigation menu and click Run Payroll to upload the file and process hours for the week.

  • ⚠️ If a worker's hours are missing from the file, confirm their timesheet has been approved for the selected week and that they are not a new start whose employee data was not yet uploaded.
