πŸ“Œ Why This Matters

When you have new start placements in a given week, their employee data needs to be submitted to payroll before processing. Jombone lets you download a pre-formatted employee data file directly from the Timesheets module β€” in the exact format required for payroll upload via the platform.

This ensures:

  • βœ… New starts are captured accurately before the payroll run

  • πŸ“‹ Employee data is export-ready with no manual reformatting

  • ⚑ Payroll uploads stay clean and exception-free from day one

⚠️ Important: This download reflects new start placements only β€” workers who have a new placement in the selected week. It is not a full workforce export.

🧭 How to Download the Employee Data Template

Follow these steps each week before processing new starts through payroll:

  1. Log into your Jombone Staffing Workspace.

  2. From the left-hand navigation menu, go to Mid Office.

  3. Select Timesheets from the Mid Office menu.

  4. On the Timesheets page β€” do not select a specific client from the top filter. Leave it at the default (all clients).

  5. Make sure you are viewing the correct week using the week selector at the top of the page.

  6. Click the three-dot menu (β‹―) located on the far right of the page.

  7. From the dropdown, select Download.

  8. Then select Download Employee Data.

πŸ“₯ An Excel file (.xlsx) will download automatically. This file is pre-formatted and ready for payroll upload via the Jombone platform.

🧠 Key Points to Remember

  • πŸ—“οΈ Week selection is critical β€” always confirm you are on the correct week-ending date before downloading. Downloading from the wrong week will pull incorrect new start data.

  • 🚫 Do not filter by client β€” leave the client selector blank so the download captures new starts across all clients for that week.

  • πŸ‘€ New starts only β€” this file contains employees who are beginning a new placement in the selected week. Existing, ongoing placements are not included.

  • πŸ“‚ File format β€” the downloaded Excel file is pre-structured to match the payroll upload format used in Jombone. Do not reformat or reorder columns before uploading.

  • πŸ” Run this before payroll β€” this step should happen at the start of your weekly payroll workflow, before timesheet approvals are finalised for new starts.

πŸ’‘ Tips

  • πŸ“… Build this into your weekly payroll checklist β€” download employee data every week before the payroll run, even if you expect no new starts. It takes seconds and confirms there are no surprises.

  • πŸ” Cross-reference the downloaded file against your expected new placements for the week to catch any missing records early.

  • πŸ“€ Once downloaded, upload the file directly within Jombone β€” from the Dashboard, go to Back Office in the left-hand navigation menu, then click Run Payroll to upload the employee data and register new starts before processing hours.

  • ⚠️ If a new start worker is missing from the file, check that their candidate onboarding (Onboarding & Compliance Module) is marked complete and they have been assigned to a shift in the correct week.
