🔄 Advancing Candidates Through the Hiring Workflow

The Staffing Workspace gives you full control over moving candidates through each stage of the hiring process — from application to employment history.

Here’s how you can manually progress candidates through the tabs using the Actions dropdown in each stage.


📥 1. Applications Received

This is where all new applicants appear after applying to your job posting.

To move a candidate forward:

  1. Click the Actions dropdown next to the candidate.

  2. Choose:

    • Offer: Sends the candidate to the Offers Made tab.

    • Reject: Sends the candidate to Rejected or Withdrawn.

    • Attach: Moves the candidate directly to Offers Accepted, skipping the Offer step.


✉️ 2. Offers Made

Candidates here have been sent an offer but haven’t accepted yet.

From the Actions dropdown, you can:

  • Revise Pay Rate: Update offer details.

  • Withdraw Offer: Cancel the offer and move the candidate to Rejected or Withdrawn.

  • Attach: Manually move the candidate to Offers Accepted.

Once a candidate accepts the offer, they are automatically moved to the Offers Accepted tab.


✅ 3. Offers Accepted

This tab shows candidates who have accepted their offer.

To confirm their assignment:

  1. Click Actions > Send Confirmation

  2. You’ll be prompted to:

    • Enter Work Assignment Instructions

    • Upload any necessary documents

Once completed, the candidate moves to Assignments Confirmed.

You may also Withdraw Offer if needed at this stage.


📅 4. Assignments Confirmed

Candidates here are confirmed and ready to start work.

From the Actions menu, you can:

  • Start Employment: Moves the candidate to Current Employments

  • Send Confirmation: Reconfirm details if required

  • Withdraw Offer: Cancel the assignment

  • Audit Log: View candidate activity history


👷 5. Current Employments

This tab shows all candidates currently working on this job order.

Actions available:

  • End Employment: Completes the assignment and moves the candidate to Past Employments

  • View Confirmation: See assignment instructions

  • Audit Log: Track history of updates

  • Edit EmploymentNEW


Edit Employment Start Date (New)

You can now update the start date of an existing employment directly from the Current Employments list.

How It Works

  1. In Current Employments, click the three‑dot Actions menu next to a worker.

  2. Select Edit Employment.

  3. The Edit Employment popup opens.

  4. Only the Job Start Date field is shown — edit the date and click Yes to save.

Rules for Editing the Start Date

  • Backdating is allowed:
    You may change the start date to an earlier date even if work has already begun.

    Example:

    • Today: 20‑Jan‑2026

    • Original Start Date: 05‑Jan‑2026

    • New Start Date: 04‑Jan‑2026 → ✅ Allowed

  • Forward‑dating is restricted:
    If you try to move the start date forward past the current date, the system checks for timesheet entries between the original and new dates.

    • If no timesheets exist: → ✅ The change is allowed

    • If timesheets exist: → ❌ The change is blocked

    Error Message Displayed:

    “Employment start date can’t be changed because timesheets already exist for this period.”


📁 6. Past Employments

Once employment ends, the candidate appears here as part of your assignment history. This tab helps track who has worked previously and when.


🚫 7. Rejected or Withdrawn

This tab includes all candidates who are no longer progressing, including those who were:

  • Rejected (manually or via AI Agent)

  • Withdrew their application or assignment

  • Had their offer withdrawn by the recruiter

Each entry is clearly labeled with its final status.


This process ensures that every action you take updates the candidate’s status accurately in the hiring flow — keeping your recruitment organized and easy to manage.
