Candidates in Jombone flow through four connected workflows that handle every phase of staffing operations—from initial entry through active employment. This article explains how candidate data moves through your system and what happens at each stage.



The Four Core Workflows

1. Candidate Entry (Applicant Tracking System)

How candidates enter your system:

There are only two ways a candidate can enter Jombone:

  • Candidate applies to a job – Through your career site, Indeed, ZipRecruiter, or other job boards

  • Manual entry by staff – Any workspace user can add a candidate directly

What happens: All candidates are automatically stored in your Applicant Tracking System (ATS) where they can be searched and managed.


2. Recruitment Pipeline

What it does: Moves candidates through your screening and interview process.

Where it happens: Within the Applicant Tracking System or the Applications module of a specific job order.

Typical recruitment statuses include:

  • Application Received

  • Pre-Screening

  • Screening

  • First Round Interview

  • Client Interview

  • Client Presented

  • Shortlisted

What happens: Your team moves candidates through these stages until you decide to make a placement.


3. Onboarding

What it does: Collects required employment documents and compliance information.

How it works:

  1. You invite the selected candidate to onboard

  2. Candidate submits required documents

  3. System tracks onboarding status: Complete, Incomplete, Pending, or Expired

What happens: Once onboarding is complete and placement confirmed, the candidate is ready for employment.


4. Employment Cycle

What it does: Manages active placements and time tracking.

Employment statuses:

  • Offer Made

  • Offer Accepted

  • Assignment Confirmed

  • Current Employment (active placement)

  • Employment Ended

Important: Candidates can only clock in/out when they have "Current Employment" status. Time tracking is automatically enabled for active employees and disabled once employment ends.
